Information We Collect
Southern Roots Media & Entertainment LLC (“we”, “our”, or “us”) collects information you provide directly when you submit a booking request, contact form, or inquiry. This may include your name, email address, phone number, event date, event details, inquiry details, and SMS opt-in status.
How We Use Your Information
We use the information we collect to respond to your inquiries, process booking requests, send event-related communications, send promotional text messages only when you have opted in, and improve our services.
SMS and Text Messaging
If you choose to opt in to text messaging, Southern Roots Media & Entertainment may use your mobile phone number and SMS opt-in status to send messages related to your inquiry, event, booking, availability, packages, reminders, or offers you requested. Message frequency varies. Message and data rates may apply. Reply STOP to cancel text messages or HELP for help. Consent to receive marketing text messages is not required to submit an inquiry, purchase, or book services.
We do not sell, rent, or share SMS opt-in consent, mobile phone numbers, or text messaging data with third parties or affiliates for their marketing or promotional purposes.
Preferred Vendor Referrals
When you follow an active Preferred Vendor referral link, we store the referral code and the times of your first and most recent valid referral visits in a signed, first-party cookie for 90 days after your most recent valid referral visit. The cookie is not readable by browser scripts and does not contain your name, contact information, event details, or other client data. We use this attribution to understand the introduction and measure the partner program. An invalid or expired referral does not prevent you from submitting an inquiry.
Venue Search and Road Travel
When you use Build Your Event, the venue name or address you enter may be sent to Geoapify to suggest a matching place and calculate driving distance from central Roanoke. Geoapify uses OpenStreetMap data. We store the address you submit and may store the resulting route distance and calculation time with your inquiry so our team can review travel charges. We do not ask Geoapify to reserve a date or make a booking.
Local Weather and Sound
The scenery can follow weather in your general area using location information from our network provider, Cloudflare. We ask your browser for precise location only when you choose “Use precise location.” Coordinates are sent through our server to OpenWeatherMap to look up conditions. Your browser keeps your location for up to 24 hours and weather conditions for 30 minutes; during an outage, older saved conditions may be shown for up to 24 hours and are labeled as saved. These browser settings are separate from your event inquiry. You can turn local weather off in Atmosphere settings or clear the saved settings through your browser. Decorative scenery is not presented as live weather. Sound is optional and does not start without your interaction.

We implement appropriate technical and organizational measures to protect your personal data against unauthorized access, alteration, disclosure, or destruction.
